Toimitusvalvonnan prosessin tehostaminen pilvipohjaiseen järjestelmään luotavan kirjaston avulla

Abstract

Epävarmuudet projektiliiketoiminnan investointiympäristössä ovat pakottaneet monet selluja paperiteollisuuden alalla toimivat yritykset ja organisaatiot tekemään toimintaansa sopeutuksia sekä organisaatiomuutoksia. Tämän myötä on noussut myös tarve kehittää ja tehostaa eri toimintojen prosesseja. Tämän diplomityön tavoitteena oli kuvata kohdeyrityksen toimitusvalvonnan toimintaprosessi nykytila-analyysin avulla sekä kehittää toimintoa tehokkaammaksi lyhentäen samalla prosessin läpimenoaikaa vähentämällä manuaalisesti tehtävän työn määrää digitalisaation avulla.

Diplomityö on kehittämistutkimus, jossa havainnoitiin toimitusvalvojan tekemiä työtehtäviä sekä tämän tuottamaa dokumentaatiota eri ohjelmistojen avulla. Työn teoriaosuudessa käsitellään projektiliiketoimintaan, hankintaan sekä toimitusvalvontaan liittyvää työn kannalta keskeistä käsitteistöä. Teoriaosuudessa myös sivutaan prosessin kehittämistä sekä työn ositusta. Empiirinen aineisto kerättiin havainnoimalla toimitusvalvojan työtehtäviä sekä tämän eri tietojärjestelmien avulla tuottamaa dokumentaatiota. Osa työssä käytetystä aineistosta perustui vapaamuotoisiin haastatteluihin, mutta näitä ei niiden epämuodollisuuden vuoksi dokumentoitu.

Projektin lopputuloksena saatiin luotua toimitusvalvonnan digitaaliseen järjestelmään kohdeyrityksen WBS-mallin mukainen valvontapohjien kirjasto, jonka pilotoinnin yhteydessä kyettiin vähentämään toimitusvalvojan tekemän manuaalisen työn määrää noin 29 % sekä vähentämään tämän työaikaa noin 51 %.

Uncertainties in the investment environment of project-based business have compelled many companies and organizations operating in the pulp and paper industry to adapt their operations and make organizational changes. Consequently, there is an increasing need to develop and streamline the processes of various functions. The aim of this master's thesis was to describe the current state of the target company's delivery monitoring process through a current state analysis, and to develop the function to be more efficient by shortening the process lead time and reducing the amount of manual work through digitalization.

This master's thesis is a development research study that observed the work tasks performed by the expediting and the documentation produced using various software. The theoretical part of the work addresses the key concepts related to project-based business, procurement, and delivery monitoring that are relevant to the study. The theoretical section also touches upon process development and work breakdown. The empirical data was collected by observing expediting engineer’s work tasks and the documentation produced through various information systems. Some of the material used in the study was based on informal interviews, but these were not formally documented due to their informal nature.

As a result of the project, a library of control templates based on the target company's WBS model was created for the digital delivery monitoring system. During the piloting of this system, the amount of manual work performed by the delivery monitor was reduced by approximately 29%, and their work time was reduced by approximately 51%.
