Project benefits management in small project organization

Abstract

Traditionally projects are measured on scope, schedule and cost. This approach is widely accepted and considered as a suitable perspective to evaluate project success. Still this framework does not consider why the project is executed and what are the downstream effect on everyday operations, which in hand creates an opportunity for project benefits management.

The purpose of this thesis is to investigate how the project benefits management process is carried out is small project organization. The research method used was a qualitative study with a single case company and semi structured interviews were conducted with company personnel as a vehicle for information gathering.

Based on the interviews it was identified that the project benefits were considered during the business case development, but as the project moved forward, they received less attention. This was especially true after project delivery as the implementation processes of the gained benefits to day-to-day operations were seen as missing. Further, interviewees clearly supported that project and project benefits management structured and practices are necessary to bring clarity and compliance in project work, but they must be fit into local organization’s needs, wants, and unique characteristics.

Perinteisesti projekteja mitataan laajuuden, aikataulu ja kulujen kautta. Lähtökohtaisesti tämä on yleisesti hyväksytty tapa arvioida projektin onnistumista. Mainittu lähestyminen ei kuitenkaan huomioi, miksi projekti tehdään ja mitä vaikutuksia sillä on, joka luo mahdollisuuden projektin hyötyjen hallinnalle.

Tämän tutkimuksen tarkoitus on tutkia, kuinka projektin hyötyjen hallintaa tehdään pienessä projektiorganisaatiossa. Työn tutkimustapa oli kvalitatiivinen tutkimus, jonka kohteena on yksi kohdeyritys ja kohdeyrityksestä valittua henkilöstöä haastateltiin tiedon keräämiseksi.

Haastatteluiden perusteella pystyttiin tunnistamaan, että kohdeyrityksessä käsitellään projektien hyötyjä suunnitteluvaiheessa, mutta projektin edetessä projektin hyötyihin kiinnitettävä huomio vähenee. Huomio nousee esiin varsinkin projektin toteuttamisen jälkeen, kun projektin hyötyjen implementoinnin prosessit jokapäiväiseen toimintaan todettiin vajavaiseksi. Lisäksi haastateltavat kokivat projektin ja hyötyjen hallinnan rakenteet ja prosessit tarpeellisina tuodakseen projektitoimintaan selkeyttä ja yhdenmukaisuutta, mutta rakenteita ja prosesseja suunnitellessa pitää huomioida paikallisen organisaation tarpeet sekä vahvuudet.
