Tiivistelmä
Cost data gathering and analysis is an often neglected part the project management cycle. It can however generate important data for future projects cost estimates. Especially the early stages of a project benefit from historical cost data, as there isn’t a lot of other information to rely on. The objective of this study is to examine how historical cost data can be utilized in early-stage cost estimation in general, and on a focal company’s part. A literature review was conducted to form a theoretical framework of project cost management and historical data usage.
Design science research (DSR) methodology was used for the focal company’s needs to form an artefact for cost data gathering and usage. Interviews were used to gather information for the artefact creation. The created artefact is a project card for gathering and utilizing cost data. A need for better searchability and comparability of cost data arose in the interviews, and that need was answered by creating an additional artefact, project card search tool.
The created project card includes project unit costs for engineering per component, cost per component and percentages of components, and information to form those unit costs, such as project costs, engineering hours and components. Project basic information like project scope is added to recognize what the project includes. Additionally, analysis of project cash flow, cost division and budget compared to actualized costs is added. The project card search tool allows for searching projects with key words and extracting data from multiple project cards on to the same page and counting averages of the selected projects. This allows for better comparability and eases the finding of suitable reference projects. Kustannustietojen kerääminen ja analysointi on usein laiminlyöty osa projektien hallintaa, joka voisi kuitenkin tuottaa hyödyllistä tietoa uusien projektien kustannusarvioita varten. Tämän työn tavoitteena onkin tutkia, miten projektien ensimmäisen vaiheen kustannusarvioita voidaan tukea historiallisella datalla. Työssä toteutettiin kirjallisuuskatsaus, jonka avulla muodostettiin teoreettinen viitekehys projektin kustannustenhallinnasta ja historiallisen tiedon hyödyntämisestä.
Kohdeyrityksen tarpeisiin sovellettiin design science research (DSR) -menetelmää artefaktin kehittämiseksi kustannustiedon keräämiseen ja hyödyntämiseen. Artefaktin suunnittelua varten kerättiin tietoa haastattelujen avulla. Tuloksena syntyi projektikortti kustannustiedon keruuta ja käyttöä varten. Haastatteluissa nousi myös esiin tarve parantaa kustannustietojen haettavuutta ja vertailtavuutta, mikä ratkaistiin luomalla hakutyökalu.
Luotu projektikortti sisältää yksikkökustannuksia suunnittelulle ja komponenteille, komponenttien prosenttiosuuksia, sekä tiedot näiden lukujen taustalla, kuten kustannukset, suunnittelutyötunnit ja komponentit. Projektin perustiedot, kuten sen laajuus, sisällytetään kortille, jotta projektin sisältö on selkeästi tunnistettavissa. Myös analyysi projektin kassavirrasta, kustannusten jakautumisesta sekä budjetin ja toteutuneiden kustannusten vertailusta on lisätty. Projektikorttien hakutyökalu mahdollistaa projektien etsimisen hakusanoilla, useiden projektikorttien tietojen kokoamisen samalle sivulle sekä valittujen projektien keskiarvojen laskemisen. Tämä parantaa vertailtavuutta ja helpottaa sopivien referenssiprojektien löytämistä.
